Welcome to the Monthly Release Note! Clients Purchasing Absence Management Reports Continuous Improvement

Welcome to the Monthly Release Note!

This post will explain all the changes that are due to go live overnight on Wednesday the 10th of December.

Some changes will only apply to specific departments or business units across the group, so don't worry if any of these appear unfamiliar. Please contact your business analyst if you'd like to find out more about any of the changes in this post, or indeed if you have some ideas for change yourself.

Evox App

The Evox app is now live within the Apple and Google Play Store. The first phase of the application rollout covers timesheet functionality, allowing timesheets to be keyed and submitted directly in the mobile app.

We are currently looking for users to help gather feedback on the application by offering a free trial period. If this is something your business would be interested in, please contact the Evox Solutions Team.

A new area within the Support Centre has been created for the App: Evox Mobile App - Evox Solutions

Clients

19015: Clients and Contacts Enhancements

Some major changes coming in this update is an overhaul of the Clients and Contacts pages in EVOX.

  • The Global Search function can now be used to look for client contacts - you can search by first or surname.
  • When creating a new client in the system, you'll now be presented with “Clients with similar names” as you're typing - which aims to help prevent duplicate clients:
  • Touchpoints have been reworked - here you can now record more accurate dealings with said clients, record notes, record the outcomes of meetings, and assign tasks to EVOX users.

19684: Industry added as option for Client Data Export

Within the Client List, there is a button for ‘Data Export (CSV)’. Industry has been added as a column for users to export data on.

Purchasing

19643: PO Tab on Projects and Suppliers

The POs tab on Projects will now show any purchase orders against the project. A new tab for Outstanding POs has been added to supplier records.

19691: Credit Card Importer - Default Reimbursable

When users are completing their purchase order from imported transactions, two tick-boxes will be visible for Non-Chargeable and Reimbursable. Reimbursable will be the default option.

Once the PO is created, all lines will be set to either Non-Chargeable or Reimbursable depending on what the user selected.

19694: Credit Card Expenses - Transactions tab

When using the Transactions tab on the add po line pop-up, the additional supplier field will now be a free-text field. The field ‘Requested By’ has been changed to ‘Who was involved’. When viewing a PO/logging an invoice, the description will show the additional supplier, who was involved, the transaction date, and the description itself. When revising a PO, the user can override the document previously uploaded against the po line.

Absence Management

19613: Worker Contracts - remove need for placement

Worker contracts can now be created for personnel who do not have a placement set within their personnel record.

19542: Absences and Outlook Calendar Integration

The absence calendar has been updated to a new user interface. If users click on the Details button of an entry, this will take them to the absence request form. Within here, there is a new button for ‘Export to Calendar’. This downloads an ICS file that can be imported into outlook calendars to block out absences.

Reports

19616: PO Lines report

Additional columns have been added to the PO Lines report for Credit Card Expense information: Transaction Date, Client/3rd Party Entertainment, Manager Approval, Additional Supplier, Receipt, and No Receipt Reason.

19618: Timesheets that have not been sales invoiced

A new report has been created to output timesheets that feature a charge rate and have not been sales invoiced within a filtered date range. This gives the same information as the Sales Accrual Export.
