Background

Focus Fireball is a desktop application that enables users to check aged debtor, creditor, and WIP transactions per division or project manager. It has been used across the group for a number of years to enable users to get valuable up to date information during the process of invoicing and payments through the month. The application has now been replaced within Evox with a new page visible in the Accounts tab.

The functionality and data should be the same as Focus Fireball. Please note that this page will be based on several permissions and only accessible to certain users. Please contact your business analyst to learn more about this.

 

 

Access Tokens

Please note that you will require an Access Token in order to view the Accounts Aged Data. To do this, please see the below:

  • Navigate to the Maintenance Tab
  • Click on Manage Access Tokens under the Personal Settings heading
  • Click Create
  • Select the Accounts Database (there should only be one option showing that relates to the linked NetSuite Accounts Database) and click Generate Token
  • This will then create an Access Token:
  • Please note that Access Tokens do have an expiry date and time - Tokens can be refreshed by clicking the Refresh button

 

 

Accounts Aged Data

To access the Accounts Aged Data, please navigate to the Accounts Tab and click on the Aged Data link under the Integration heading. On page load, this will look like the below:

Please note that you will need to click ‘Search’ on the page before any data loads.

 

 

Aged Debt

The Aged Debt tab is split into three views; Summary, Intercompany, and Detail.

 

Summary View

The Summary view of the Aged Debt tab will look something like the below:

This will show the Client Code, Client Name, Total Owed, Total Owed under 30 days, Total Owed between 30-60 days, Total Owed between 60-90 days, Total Owed between 90-120 days, Total Owed over 120 days, Credits, and Terms (days).

Users have the ability to add notes against clients using the green plus button against the entry:

This will open up the below pop-up:

Users will input their note and click Save. Once saved, users will notice the blue icon to indicate a note has been added against the client:

If clicked, this will show the user any notes against the client. Users can also add additional notes by clicking ‘Add Note’. Users can click the ‘X’ or Close button to close the pop-up:

 

When clicking on a client, this will open up a section at the bottom of the page to view any transactions:

All transactions will be present within the ‘All’ toggle but can be filtered down using the other available toggles. This will show information for Reference, Type, Amount, Date, Due Date, Terms (Days), Status, Job, Division, Project Manager, Anticipated Date, Approved Date, Assigned To, Client Accounts Code, Account Name, and Invoice Description.

Users can edit the transaction by clicking the edit icon against the entry:

This will bring up the below pop-up for the user to edit the transaction:

Notes can also be created against transactions.

When viewing transactions against a client, two reports for ‘Job Costed Detail’ and ‘Transaction Detail’ can be outputted:

Both reports will download an excel file into the user's personal downloads. The Job Costed Detail output will look something like the below:

Intercompany View

The Intercompany view of the Aged Debt tab will look something like the below:

The Intercompany View will have the same functionality as the Summary View. The only difference is that the Intercompany View will only show data related to other subsidiaries within the group. 

 

Detail View

The Detail view of the Aged Debt tab will look something like the below:

This will show all aged debt transactions. All transactions will be present within the ‘All’ toggle but can be filtered down using the other available toggles. This will show information for Reference, Type, Amount, Date, Due Date, Terms (days), Status, Job, Division, Project Manager, Anticipated Date, Approved Date, Assigned To, Clients Accounts Code, Account Name, and Invoice Description.

Users have the ability to edit the transaction and also add notes against the transaction.

 

 

Aged Credit

The Aged Credit tab is split into three views; Summary, Intercompany, and Detail. 

 

Summary View

The Summary view of the Aged Credit tab will look something like the below:

This will show the Supplier Code, Supplier Name, Total Owed, Total Owed under 30 days, Total Owed between 30-60 days, Total Owed between 60-90 days, Total Owed between 90-120 days, Total Owed over 120 days, Credits, and Terms (days).

Users have the ability to add notes against suppliers using the green plus button against the entry:

This will open up the below pop-up:

Users will input their note and click Save. Once saved, users will notice the blue icon to indicate a note has been added against the supplier:

If clicked, this will show the user any notes against the supplier. Users can also add additional notes by clicking ‘Add Note’. Users can click the ‘X’ or Close button to close the pop-up:

Aged Debt and Aged Credit Reports

Within the Aged Debt and Aged Credit tabs, there are three reports that can be outputted: Account Summary, Job Costed Detail, and Transaction Detail.  All three reports will download an excel file into the user's personal downloads. The Account Summary output will look something like the below:

Columns on the report include:

  • Accounts Code
  • Name
  • Total Owed: separate columns for <30 days, 30-60 days, 60-90 days, 90-120 days, 120+ days
  • Credits
  • Terms
  • Notes
  • Transaction Notes

 

The Job Costed Detail output will look something like the below:

Columns on the report include:

  • Invoice Ref
  • Invoice Date
  • Due Date
  • Age Days
  • Job Number
  • Job Name
  • Client/Supplier Code
  • Client/Supplier Name
  • Division Code
  • Division Name
  • Project Manager
  • Invoice Type

Aged WIP

The Aged WIP tab will look like the below:

This will show the Job Code, Client Code, Description, WIP Remaining, WIP Remaining under 30 days, WIP Remaining between 30-60 days, WIP Remaining between 60-90 days, WIP Remaining over 90 days, Invoiced Previously, WIP, Total Traded, and Invoiced this Period.

The above table can be filtered using the available filters for Department and Project Manager. Users can also filter to the previous month WIP by checking the tick box and clicking search.

 

Users have the ability to add notes against jobs using the green plus button against the entry:

This will open up the below pop-up:

Users will input their note and click Save. Once saved, users will notice the blue icon to indicate a note has been added against the job:

If clicked, this will show the user any notes against the job. Users can also add additional notes by clicking ‘Add Note’. Users can click the ‘X’ or Close button to close the pop-up:

 

WIP Report

A button for WIP Report will be present within the Aged WIP tab:

This will download an excel file into the user's personal downloads. When opened, the report will look something like the below:

Columns on the report include:

  • Job Number
  • Job Name
  • Client Code
  • Client Name
  • Project Manager
  • Division Code
  • Division Name
  • Invoiced Previously
  • WIP End of Previous Period
  • Total Traded
  • Invoices This Period
  • WIP Remaining: separate columns for <30days, 30-60 days, 60-90 days, 90+ days
  • Notes (any notes recorded against the job)
